Refund & Cancellation Policy

Effective Date: 23/05/2025


1. Scope

This policy applies to all bookings, course fees, deposits, audits, clinic-standards checks, training materials, and professional products sold or used by M.A.M.I. (“Services” and “Products”). It governs cancellations, rescheduling, refunds, and related processes. By paying a deposit or full fee, or otherwise confirming a booking, you agree to be bound by this Policy.


2. Non-Refundable Products

  • Professional / consumable / training-related products supplied by M.A.M.I. (e.g. injectable materials, tools, kits, digital resources) are non-refundable unless they are faulty or not as described.

  • Once a product has been dispatched to you, or is otherwise in your possession, change-of-mind returns will not be accepted.


3. Deposits & Booking Confirmation

3.1 A full fee is required to provisionally reserve a place in a course or audit. A booking is only fully confirmed once the full fee is paid.


4. Cancellation by You (the Practitioner / Delegate)

4.1 All cancellation requests must be made in writing (email or signed letter) and during business hours (9 am–5 pm local time, excluding weekends and public holidays).

4.2 Cancellation fees and refund percentages depending on timing:

Time of Cancellation Before Course / Service Refund / Fee Impact
More than 8 weeks prior to the training/audit date Deposit is non-refundable; remainder refunded minus a cancellation fee of 50% of the full course or audit fee.
Less than 8 weeks prior to the date No refund on any amount paid.
Failure to attend, or failure to complete the course, or not moving to the course date No refund under any circumstances.

4.3 Modifications / Rescheduling by You:

  • Requests to reschedule a booking or change course date must be made no less than two months before the original course or audit date, in writing.

  • Requests made within  two months of the date may be refused, or subject to full forfeiture of fees.

  • Any approved rescheduling may incur additional fees (if quoted) and/or require payment of the difference if prices have changed.


5. Cancellation or Rescheduling by M.A.M.I.

5.1 M.A.M.I. reserves the right to:

  • Cancel or postpone any course, training session, audit, or clinic-standards checking for reasons beyond its control (e.g. insufficient enrolments, trainer unavailability, force majeure etc.).

  • Change the training schedule, venue, or audit date when necessary.

5.2 If M.A.M.I. cancels or reschedules:

  • Delegates / practitioners will be notified as soon as practicable.

  • You will be offered either a full refund, or a transfer to an alternate course date (without additional cost), at your choice.

  • M.A.M.I. is not responsible for travel, accommodation or other expenses incurred by you in relation to the original booking.


6. Faults, Defective Products or Misdescription

6.1 You are entitled to remedies under the Australian Consumer Law (ACL) where a product is faulty, not fit for purpose, or significantly different from its description. This includes repair, replacement, or refund, depending on the nature of the problem. 

6.2 For Services: If the training, course, audit or standards-checking fails to be performed with due care and skill, or is significantly different from what was promised, you may be eligible for a refund, re-performance, or compensation under the ACL.


7. Timeframes & Processing

7.1 Refunds will be processed within a reasonable timeframe (generally within 14 business days) of acceptance of the cancellation or the determination that a refund is due.

7.2 Any fees for bank / transaction charges incurred in the original payment are not refundable unless otherwise agreed in writing.


 

8. Refunds & Rights Under Consumer Law

  • Nothing in this policy is intended to limit your rights under the Australian Consumer Law. 

  • If a service or product fails to meet a legal definition of consumer guarantee, you are entitled to a remedy even if our policy might ordinarily say “no refund.”


9. How to Cancel / Request Refund / Reschedule

  • All requests must be submitted in writing to aestheticmedicineinstitute1@gmail.com

  • Include your name, booking reference, course/audit name, date, reason for cancellation or modification.

  • M.A.M.I. will issue a confirmation of cancellation, rescheduling, or refund decision in writing.
